You can create a work order by converting an approved estimate to a work order or you can build a new work order from scratch. An estimate must be approved before you can convert it to a work order. Finally, work orders can be converted to invoices. For more information on estimates, see Estimate. For more information on invoices, see Invoices.

 

1. From the Jobs tab, select Work Orders or On Dashboard - Click Add New Work Order as shown in below fig 




A list of work orders will display. To work with an existing work order, click the Actions menu in the far-right column to access the following actions: ViewEditStartComplete, and Archive.


2. Click Create Work Order.




3. From the Import Estimate drop-down menu, select the estimate that you would like to convert to a work order and click Import. Or to create direct work order you can fill all detail and then move to next page where you can assign field staff.

 


The Work Order page appears.




4. In the Short Description section, you can enter a summary that will appear on the invoices.

 

5. In the Scope of Work section, you can enter a summary that will appear on the work order.


6. From the Canned Responses drop-down menu, select the canned response that you would like to appear on the work order and click Insert.

 

7. In the Services section, select the service name and quantity that you would like to apply to the work order. ClickAdd to Work Order.


8. In the Materials section, select the material name and quantity that you would like to apply to the work order. ClickAdd to Work Order.


You can review the details of the work order in the Work Order Preview section with the location of customer and last location of the field staff.




9. Click Save and Continue.


If you would like to convert this work order to an invoice, click Create Invoice. For more information on invoices, see Invoice.

 

Creating a New Work Order

 

1. From the Jobs tab, select Work Orders.

 

2. Click Create Work Order.


Job Number will be automatically assigned to the work order.


3. In the Work Order Number field, enter a number that you would like to assign to the work order.


4. In the Customer/Prospect field, select Customer or Prospect.


5. From the Customer/Prospect drop-down menu, select the customer or prospect name.


6. In the Job Name field, enter a name for the job.

 

7. From the Contact drop-down menu, select the contact that you would like to associate with the work order.

 

8. From the Locations drop-down menu, select the location that you would like to associate with the work order.

  

9. From the Recurring drop-down menu, select Non-Recurring if this is a one-time work order only.

 

10. In the Dates section, click in the Created On field to access a pop-up calendar. Select a date for the creation of this work order. The default is today's date.

 

11. Click in the Scheduled Start and End field to access a pop-up calendar. Select start and end dates, then click Apply.

 

12. Click Save and Continue.

 

The Work Order page appears.


13. In the Short Description section, you can enter a summary that will appear on the work order.

15. From the Canned Responses drop-down menu, select the canned response that you would like to appear on the work order and click Insert.


16. In the Services section, select the service name and quantity that you would like to apply to the work order. Click Add to Work Order.


17. In the Materials section, select the material name and quantity that you would like to apply to the work order. Click Add to Work Order.


You can review the details of the work order in the Work Order Preview section.


18. Click Save and Continue.


19. If you want to create directly Invoice from work order, select yes check box invoice will get create, refer below fig
